Instructions for completing CIP - International Development Applications
General Instructions - Before sending in your application, please retain a complete copy for your records. For email submissions, please name the file the same as the New Project Name in your application. For email submissions also include your organization name in the subject line on the email - (ie. Subject: International Development Grant Application - ABC Society). Please ensure any mailed in attachments are clearly marked with the organization legal name and project name to facilitate matching your backup documents with your application.
Page 1 - Registration Number - If your organization has an organization registration number (ie. Alberta Registration Number) and a CRA registration number, please include both numbers along with their corresponding registration dates.
Legal Address of Applicant - Please do not provide a lawyer's address unless it is the only mailing address.
Mailing/Delivery Address - Note: All correspondence and cheques will be mailed to this address. For organizations outside of Alberta, please provide your Alberta representative contact details.
Page 2 - Please include 2 contacts on your application (ie. A primary contact who has worked on the application and an alternate contact in the event that the primary contact is away.)
Alternate Contact - For organizations outside of Alberta, please provide your Alberta representative contact details.
Group that will benefit from the project - choose the best fit as only one selection is allowed.
Page 3 - Government of Alberta Funding Programs - If your organization has received funding from another Government of Alberta program and if financial reporting has not yet been submitted, please identify the department where the financial reporting will be submitted and when the reporting is due.
If your organization has applied for or received any other Government of Alberta funding within the last three years for the same project, please identify which program provided funding along with the date when this funding was received.
Project start dates should follow decision date and applicants may have up to two years from cheque date to complete their projects depending on the agreed terms. No retroactive funds will be provided for projects that have already been completed.
Page 4 - If this is a new phase or a similar project to which funding has been provided in the past, a new application must be completed each year and must be accompanied by an accountability report for the previous year's funding
Organizations must show that they have cash matching funds in its most recently completed fiscal year up to $25,000 and must contribute this same amount to the project. In addition, only funds raised in Alberta are eligible for matching.
Page 6 - Budget - Please ensure that the budget reflects your organization's total project, not just the funding requested. Also check to ensure that calculations are accurate and that all figures are rounded to the nearest dollar. Total funding must equal total expenses including donated in kind resources.
For the budget line item 'Amount requested from this program' please note that organizations are only eligible for up to $25,000 or the amount raised in Alberta in its last fiscal year.
For the budget line item 'Your Organization's Cash Contribution' please note that the Organization must match in cash to the project of at least as much as the 'Amount requested from this program' budget line.
Please be sure to complete and attach a detailed project budget. Sample templates are available at http://culture.alberta.ca/cip/.
Financial Statement Attachments - Please include a complete set of financial statements for your organization's most recently completed fiscal year. If the financial statements are audited include the signed and dated auditor's report. If un-audited, the financial statements must be signed by two legally authorized representatives of the organization and include a current bank statement. First time applicants must provide two years of financial statements.
All other attachments - please be sure to include all other required attachments with your submission, including the List of Executives (with contact details), Annual Report and Bylaws.
Page 7 Grant Agreement - If submitting your application by email, an original signed grant agreement must be submitted to the CIP office within 10 business days from the date of submission.
